Useful access depends on agreeing what can be discussed, recorded and circulated before the meeting. A visit confirmation does not grant permission to photograph a production line, quote an employee or reproduce a customer document. Build those decisions into the agenda and give delegates a practical alternative when evidence cannot leave the room.

If a host cannot share a customer incident log, request an anonymised walkthrough with dates and identifiers removed. Record the limits of what was shown and ask the host to confirm any wording intended for a board paper. Keep working notes separate from a circulation-approved summary. Before uploading notes to a transcription or AI service, confirm that the agreed handling rules permit it. Contract terms and cross-border requirements should be checked by the relevant legal teams.
